Half Price Books offers FREE meeting space in our Half Price Books Community Room to nonprofit organizations. The Half Price Books Community Room is a friendly environment inside the Northwest Highway Half Price Books store which provides organizations a central place to meet.
Eligibility:
- Groups must be nonprofit, community-oriented organizations whose purposes are civic, cultural, or educational, such as groups associated with literacy and reading.
- The community room is not available for the following purposes: business sales or promotional meetings, partisan or political groups, religious meetings or social affairs such as bridal and baby showers, or other receptions of a personal nature.
- Size is restricted to a minimum of 20 attendees and a maximum of 130 attendees at any event. If your group is smaller than 20 people, but you would still like to use the Half Price Books Community Room, please let us know. We cannot reserve the entire room for you, but we would like to know that you are using it for future reservations. We would also like to be able to inform you in the future if there is some kind of scheduling conflict and perhaps put you on our calendar.
- Ample parking is available at no charge.
Room Reservations:
- Reservations are accepted on a first come, first served basis.
- Meetings must be scheduled between 10 a.m. and 10 p.m.
- Groups may meet on a weekly, monthly, quarterly, annual or one-time basis. Reservations normally require a minimum of one week notice and may be booked up to one year in advance.
- The size of the Half Price Books Community Room is approximately 28 x 48 feet. 100 guests can be seated comfortably theatre style.
- If an event is cancelled, groups must notify Half Price Books a minimum of three (3) business days (Monday through Friday) before the date of the event. Groups cancelling less than three (3) days before the scheduled event may not be permitted to reschedule or use the Community Room in the future.
- Half Price Books is not responsible for any damages or expense resulting from the cancellation of meetings due to Half Price Books’ closing for weather or other emergencies.
Housekeeping:
- The group must set up their own tables and chairs and must return the room to the same condition in which it was found.
- Permission must be received prior to the meeting by the Half Price Books Community Room Coordinator to put push pins, tacks, and adhesive on the walls. Due to damage to vacuum cleaners, metallic confetti may not be used.
- Any signs to be placed in the store or in the Half Price Books Community Room must be pre-approved by the Half Price Books Community Room Coordinator.
- No red-colored beverages or dark-colored punch may be served. No alcohol may be served on the premises of Half Price Books. This includes all spirits, wine, and beer. We recommend colas, clear carbonated beverages, teas, lemonades, or light-colored punches.
- Light snacks are allowed in the Half Price Books Community Room.
- Audio Visual Equipment is permitted with approval from the Half Price Books Community Room Coordinator prior to the meeting date.
- The group must clean up after themselves. This includes wiping down tables, disposal of all trash in an appropriate manner, turning off lights, and removing all extra items that were brought to the meeting.
- Half Price Books will not store any organization’s materials and will not take responsibility for materials left behind by an organization.
User Responsibilities:
- At least one adult (21 or older) must be present at all times for all events.
- It is the responsibility of group attendees to comply with Half Price Books store policy which provides that children may not be left unattended in the store.
- Groups must comply with copyright laws in the use of film, video, music and other media.
Conditions of Use:
- Unless prior approval is obtained from the Half Price Books Community Room Coordinator, all meetings must be open to the public. Organizations do not have to permit non-members to speak, interrupt, or disrupt their programs and presentations. However, they do have to permit the public to attend, observe, and learn.
- Charging fees for meetings or seeking donations is prohibited. The selling of goods is also prohibited, unless pre-approved by the Half Price Books Community Room Coordinator.
- Except for service animals, only animals pre-approved by the Half Price Books Community Room Coordinator are allowed in the Half Price Books Community Room.
- Groups must request special approval to allow media coverage or press conferences on Half Price Books property. Permission to request for media/press coverage must be made a minimum of three (3) business days (Monday through Friday) prior to the date of the meeting. Half Price Books reserves the right to review meeting details and content when a group requests permission to allow media coverage. We also reserve the right to approve or decline media access to meeting facilities.
- Half Price Books reserves the right to release the contact information of the person and group making the reservation to anyone inquiring about the meeting.
- Use of profane or abusive language or offensive language based on race, color, religion, sex, national origin, age, disability, or sexual orientation, whether vocalized or in print, is prohibited.
- Half Price Books reserves the right to deem what is inappropriate use of the community room, in its sole discretion, and require the group to leave.
- The group is responsible for any damage to Half Price Books equipment or property.
- The organization agrees to indemnify Half Price Books and hold it harmless against any and all claims, demands, damages, costs and expenses, including reasonable attorneys’ fees for the defense of such claims, arising out of the organization’s use of the Half Price Books Community Room.
- Groups must comply with all posted Half Price Books signage and policies, federal and state laws, and city ordinances.
Application Procedure:
- A representative of the group must read the Half Price Books Community Room Policies and complete a Request for Use form online. Since the representative commits the organization or group to following these policies and assumes responsibility for any damages to the Half Price Books store, he/she must be someone whose position in the group carries this authority.
- Hard-copy proof of the group’s 501(c)(3) standing and/or a copy of the group’s mission statement may be required.
- The Half Price Books Community Room is only reserved after you have completed this form AND you have received a confirmation e-mail from the Half Price Books.

Permission to use the Half Price Books Community Room does not imply endorsement of the organization or approval of the program content by Half Price Books.
